Installing and Setting Up QuickBooks

Hardware and software requirements

Processor, memory, and disk space

• At least 500 MHz Intel Pentium II (1.8 GHz Intel Pentium III recommended) or equivalent computer
• At least 256 MB (512 MB recommended, better 1 GB) of RAM for a single user (QuickBooks will open very slowly)
• At least 512 MB of RAM (better 1 or 2 GB) for multiple, concurrent users
• 1 GB of disk space (additional space required for data files)

Disk space requirements for additional software

• 70 MB for Microsoft® Internet Explorer 6.0, provided on QuickBooks CD (Internet Explorer 7.0 supported when released)
• 150 MB for Microsoft .NET Framework CLR 1.1, provided on QuickBooks CD
• 4 MB for QuickBooks Timer
Additional hardware and software
• Microsoft Windows Professional X64, Microsoft® Vista™, Windows XP (SP2 or later recommended), or Windows 2000 SP3 or later (SP4 or later recommended) operating system
• 2x CD-ROM drive
• Optimized for 1024x768; supports 800x600 using Small Fonts in your Windows Control Panel Display settings

Integration/compatibility requirements

QuickBooks is compatible with these products, which are sold separately.

• If you plan to use features that integrate with Microsoft® Word or Microsoft Excel (such as for preparing letters or for importing and exporting QuickBooks data and reports), you need Microsoft Word 2000, 2002, or 2003 or Microsoft Excel 2000, 2002, or 2003. (More RAM enhances the use of these features.)
• If you want to synchronize with contact management software, you need Microsoft Outlook 2000, 2002, or 2003. Contact synchronization with Outlook requires QuickBooks Contact Sync for Outlook (downloadable for free from www.quickbooks.com/contact_sync).
• Compatible with QuickBooks Customer Manager v2.0 and QuickBooks Client Manager v2.0.
• Compatible with QuickBooks Point of Sale 4.0, 5.0 and 6.0.
• Business Planner functionality requires Adobe Reader 5.0, 6.0, or 7.0.
• QuickBooks Payroll subscriptions and online features/services require Internet access with at least a 56 Kbps connection speed.

Firewall and antivirus software compatibility

If you use firewall or antivirus software, QuickBooks 2007 has been tested with the following products:

• Microsoft Windows XP SP2 built-in firewall
• Symantec Norton® AntiVirus, Internet Security Suite
• McAfee Anti-Virus
• Trend PC-Cillin
• Zone Labs ZoneAlarm

In some cases it might be necessary to adjust settings in these products to ensure the best possible performance with QuickBooks. Go to www.quickbooks.com/support/install.html for the latest information from Intuit.

Using firewall software on a network

If firewall software is running while you install QuickBooks, a prompt will ask if you want to allow QuickBooks components to have access to the network. For QuickBooks to operate properly (especially in a multi-user environment) these components (QBDBMgrN.exe, QBW32.exe, QBLaunch.exe, and QBUpdate.exe) must be allowed to access the network.

Different firewall software applications use different languages when prompting you. Be sure to choose an option that does not block connections to QuickBooks components. Also, some firewall and antivirus software can affect QuickBooks performance. If you experience performance issues you think are related to your firewall software, refer to the firewall documentation or contact your firewall vendor for assistance.

Multi-user installation requirements

QuickBooks enables you to have up to five users access QuickBooks files on a network at the same time.

To enable other users to work in the company file, the company file must be stored on a computer on your network, and you need to complete some additional installation and setup steps on the computer where the company file is stored.

In a multi-user environment, QuickBooks (or the QuickBooks Server) should be installed on the computer on which the company file is stored. Each user must have a QuickBooks license and must:

• Install the same version year of QuickBooks. For example, all users must have QuickBooks 2007.
• Have read/write access and create/delete rights to the directory where the company file is stored.
• Have a valid License Number and Product Number. For a 3-User Value- Pack (QuickBooks Pro) or a 5-User Value Pack (QuickBooks Premier), use the numbers from the Value Pack.

Note: The number of users who can access the company file at the same time is not necessarily equal to the number of licenses you purchase. For example, if you purchase a 5-User Value Pack and an additional license for the sixth person in your office, only 5 of the 6 users can access the file at the same time.

For network hosting setup

To run QuickBooks in a network hosting environment, you must have Windows 2000, XP, or Microsoft Vista installed.

In a network hosting environment, each computer has its own copy of QuickBooks installed; however, the QuickBooks company file is located on only one computer, which must be turned on and available on the network. Networks set up for hosting files do not use a dedicated file server, so a single, dedicated computer is not required to share files. Thus, all the networked computers have the option to share their resources.

For example, you might run your small business by using QuickBooks on two computers—yours and one that’s used by an employee. In this case, you still need to set up a simple network to share your company file. Otherwise, you’ll need to make a backup of your company file to move it or e-mail it between the two computers.

Note: Windows XP users must have at least Standard user rights and Windows 2000 users must have Power Users Group rights to write to the registry keys and be able to run QuickBooks.

For dedicated server setup

To run QuickBooks in a network environment with a dedicated server, you must have Windows 2000, Windows 2000 Server, Windows 2003 Server, Windows XP Professional, Windows XP Home Edition (not recommended) or Microsoft Vista. Networks with a dedicated server have at least one computer (the server) dedicated to sharing files, printers, or other resources. You should store your company file on the server.

The server software requirements are:

• Microsoft Windows 2000 or later operating system is recommended. See “Additional hardware and software” on page 4 for Windows Service Pack recommendations).
• Novell Netware server or Linux/Samba file servers can be used with advanced configuration. Refer to www.quickbooks.com/support for more information.
